3 Compare with separate subscriptions what the same thing costs apart

The same scope on separate subscriptions

What assembling the same thing from separate products would cost — including what no price list mentions. The prices here are rough market averages; expand a row and put in your own.

Operations 5 systems €1 972

Each as its own subscription: Team chat, Knowledge base, CRM, Service desk, HR system.

What the suite itself replaces €1 972

Vendor 1 — Team chat €325
instead of Chat · 50 seats
Vendor 2 — Knowledge base €774
instead of Wiki · 50 seats
Vendor 4 — CRM €243
instead of CRM and CDP · 15 of 50 seats
Vendor 5 — Service desk €246
instead of Service Desk · 6 of 50 seats
Vendor 6 — HR system €384
instead of People OS · 50 seats + €15 base

Counted on a share of headcount: CRM, Service desk.

The largest line here is Knowledge base, €774 a month. If you cover that differently, or more cheaply, put your own price into that row.

A vendor’s number identifies a position across the whole comparison rather than its place in this list: the numbering skips the positions whose modules you have not added. Licences for positions like these are bought only for the people who work in them, not for the whole company.

Developer 4 systems €344

Each as its own subscription: Issue tracker, Time tracking, Capacity planning, Test management.

What the suite itself replaces €344

Vendor 10 — Issue tracker €110
instead of Projects and Client Portal · 12 seats
Vendor 11 — Time tracking €86
instead of Time & Billing · 12 seats
Vendor 12 — Capacity planning €81
instead of Resource Planning · 12 seats
Vendor 13 — Test management €67
instead of QA Management · 2 of 12 seats

Counted on a share of headcount: Test management.

The largest line here is Issue tracker, €110 a month. If you cover that differently, or more cheaply, put your own price into that row.

A vendor’s number identifies a position across the whole comparison rather than its place in this list: the numbering skips the positions whose modules you have not added. Add-ons to an issue tracker are usually licensed for all of its users, not only for the team that uses them. There is one exception here and it is named separately.

Marketing 4 systems €529

Each as its own subscription: SEO platform, Social publishing, Website builder, Sales outreach.

What the suite itself replaces €529

Vendor 14 — SEO platform €165
instead of Market Intelligence, SEO & GEO · per account
Vendor 15 — Social publishing €122
instead of Content Hub · per brand
Vendor 16 — Website builder €24
instead of Web Pages · per brand
Vendor 17 — Sales outreach €218
instead of Video Email Prospector · 3 seats

The largest line here is Sales outreach, €218 a month. If you cover that differently, or more cheaply, put your own price into that row.

Do not follow the seat count: SEO platform, Social publishing, Website builder.

A vendor’s number identifies a position across the whole comparison rather than its place in this list: the numbering skips the positions whose modules you have not added. The positions metered per account or per site are not moved by the seats slider — brands move them. Outreach is counted per seat across the whole company: if only your sales team uses it, put in your own price or bring it down by hand.

Subscriptions together €2 845

What is not on the price lists

13 systems do not become one system on their own. They have to be wired together, and then looked after.

Integrations between systems 12 integrations · development €560

The CRM does not know who wrote into the service desk. The planner does not know who is on leave. Every one of those bridges is written by hand — the same development work, at the same rate of €28/h as the hours bank in your own quote.

The number of links follows the set and has no field of its own: if one vendor covers several of these positions for you, there are fewer links — lower the hours per integration and the model will follow. The amortisation over 24 months and the upkeep percentage are the shape of the estimate rather than a price, so they are fixed.

13 systems → 12 integrations × h

480 h × €13 440 one-off

amortised over 24 months €560 / mo

A star topology: one link fewer than there are systems, not every-to-every. Every position is counted as a separate system — nothing here assumes that any two of them ship connected. If one vendor covers several of these positions in your company, there will be fewer links than this calculation gives you.

Keeping those integrations alive when a vendor changes an API €224
An integration is never "finished" — it is kept alive. Vendors change APIs, break fields and retire old versions. Budgeted at 20% of the build cost per year: €13 440 × 20% ÷ 12 = €224 per month.
A stack administrator one person for the whole zoo €550

The administrator, per month / mo

Accounts, licences, access rights, leavers, renewals, upgrades and checking those same integrations. Across 13 systems that is a job of its own, not "extra load". A single rate is assumed for the whole stack regardless of its size — an assumption that works against us.

Total beyond the price lists €1 334

Separate subscriptions — real monthly cost

€4 179

€50 148 per year

This column is costed at annual prices and the billing-period switch does not move it — it moves our side only. The currency switch moves both.

Apart 13 12 1 Sintora 1 0 0 systems integrations admins

Sintora on the same configuration — €1 127 a month, on one invoice.
Against the subscriptions alone, €2 845that is €1 718 a month less, or 60%.
Against the real cost — integration and administration included, €4 179that is €3 052 a month less, or 73%. Either way it is one vendor, one invoice and one login: the modules see each other’s data out of the box, so there is nothing to integrate and nothing to administer.

The prices in this column are rough market averages, not anyone’s price list. Each row is a class of tool rather than a particular product: no vendor is named here or implied, so this is not a comparison against anybody’s product. Each average comes from two or three widely used tools of that class at annual list pricing, excluding VAT, and it ages: prices change, features are bundled differently, and volume and annual contracts are discounted. Both currency columns are our own arithmetic. Which class of tool is placed against which of our modules is our own subjective view of what these jobs are usually done with, and it can be inaccurate. The cost of integration and administration is an estimate, not anyone’s actual invoice: in your company these numbers will be different. Every position here is counted as a separate system, so if one vendor covers several positions for you, there will be fewer links between them. Any price here can be replaced with your own — a vendor’s price, the development rate, the hours per integration and the administrator’s rate; the total and the verdict follow. What is fixed is the shape of the estimate rather than any price: the 24-month amortisation, the upkeep percentage and the star topology. One price is the exception — the HR system’s platform fee, which is averaged together with the per-seat rate and has no field of its own.
